About the Role
We’re hiring a Client Service Associate to support the operational side of client servicing and help the executive team deliver an exceptional experience for every client. This role is all handling the details that make complex financial relationships run smoothly.
The ideal candidate will have experience in financial services or professional services; however our client partner invests heavily in onboarding and training, so candidates from other industries are welcome to apply.
You’ll be responsible for post-meeting follow-ups, coordinating account and document handling, supporting client onboarding, and ensuring operational tasks are completed accurately and on time.
You’ll have the opportunity for quick progression and promotion within the company. This role is suited to candidates with previous experience in client services, account management and customer success.
Responsibilities
Post-Meeting Task Execution
- Manage follow-ups after financial planning meetings (e.g., account transfers, document delivery)
- Coordinate with external partners like estate planners and insurance providers
- Track and ensure proper setup of estate-titled accounts
- Ensure financial plan documents are properly stored and shared with all stakeholders
- Schedule follow-up calls and maintain client momentum
Client Onboarding
- Serve as the primary contact for operational matters during client onboarding
- Guide clients through setup steps, document requirements, and transition logistics
- Manage communication and updates throughout the onboarding process
Operational Support
- Maintain accurate internal records and ensure timely execution of administrative tasks
- Support billing, document management, and contract coordination
- Liaise between clients and internal stakeholders to keep everyone aligned
Qualifications
- Previous experience in operations, client servicing, account coordination, or implementation roles
- Excellent English communication skills (written and verbal)
- Extremely organized and detail-oriented
- Comfortable with digital tools (Google Workspace, CRMs, task/project trackers)
- Able to manage time zones and communicate with North American clients professionally
